At Comover, our promise is to help you find the right workspace for your day, simply and instantly. To deliver this frictionless experience, we need to collect and process certain personal and business data. We believe in being transparent about what we collect, why we need it, and how we protect it.
This policy applies to all users of the Comover platform, whether you are a Booker, a Host, a Cohost, a Collaborator, or a Billing Team Owner.

1. Information We Collect
We collect information you provide directly to us, as well as data collected automatically when you use our app to search for or book workspaces.
Account and Profile Data
When you register, we collect basic details such as your name, email address, and phone number. If you are part of a Billing Team, we may also collect your corporate title and business email.
Financial, Billing, and Tax Data
Because we handle transactions and B2B billing, we collect significant financial information:
- For Bookers: Payment method details (processed securely by Stripe).
- For Hosts (Rail 1 - Standard): Bank account details and identity verification documents required by Stripe Connect to facilitate payouts.
- For Hosts (Rail 2 - Enterprise): For hosts using our reseller billing model, we manually collect and store business verification documents, including Company Statutes (e.g., Moniteur Belge/BCE) and VAT Registration Certificates.
Location Data and Search History
To show you nearby workspaces, our Geographic Funnel relies on your device's coordinate data. If you search for a location outside our active service radius, we may store your email and your raw search query (searched location) in our waitlist system to notify you when we launch in that area.
Booking and Workspace Data
We log your booking history, the specific spots you visit, the duration of your stay, and any Host-subsidized discounts applied to your booking.
2. How We Use Your Information
We only use your data for legitimate business purposes, including:
- Providing the Service: To facilitate instant booking, seamless access to workspaces, and Peppol-compliant B2B invoicing.
- Marketplace Trust: To verify the identity of our Hosts and Bookers, preventing fraud and ensuring physical workspaces remain safe and professional.
- Strategic Expansion: We use aggregated, anonymized waitlist coordinate data to plan our future city launches.
- Legal and Tax Compliance: To comply with Belgian tax laws and EU directives (see Section 3).
3. Disclosure of Information
We do not sell your personal data. We only share it with third parties necessary to operate our marketplace or comply with the law:
- Between Users: When you book a space, we share basic profile details with the Host so they know who is arriving.
- Service Providers: We share data with trusted partners like Stripe (for payment processing and KYC verification) and Google Analytics[: 4, 5].
- Employers/Billing Teams: If you book a workspace using a Billing Team's payment method, the Owner of that Billing Team will have access to your booking details and invoices.
- Tax Authorities (DAC7 Compliance): Under the EU DAC7 Directive, Comover is legally obligated to report the identity, tax details, and platform income of reportable Hosts to the relevant European tax authorities.
4. General Data Protection Regulation (GDPR) - Your Rights
Comover is headquartered in Belgium and strictly adheres to EU GDPR guidelines. We act as a Data Controller for your personal information.
You have the right to:
- Access: Request a copy of the personal data we hold about you.
- Correction: Request that we update or correct inaccurate data.
- Deletion: Request the deletion of your account and personal data. Please note that we are required by Belgian tax law to retain financial records, invoices, and Peppol-compliant XML/PDF documents for 10 years, which may prevent us from deleting all transaction data.
- Portability: Request your data in a structured, machine-readable format.

5. Data Retention
We keep your personal data only as long as your account is active or as needed to provide you services. As mentioned above, tax and billing data will be retained for up to 10 years to comply with statutory accounting and DAC7 auditing requirements.
